How to Add an Email Account to iPhone Mail: Gmail, Outlook and Work Email
Quick answer: On a current iPhone, open Settings > Apps > Mail > Mail Accounts > Add Account. Enter the email address, choose the available provider sign-in flow, and follow authentication prompts. You can add Gmail, Outlook, iCloud or work accounts when the provider and your organization support the setup.
Adding an email account to Apple’s built-in Mail app does not replace your existing Apple Account. You can read several inboxes in Mail and pick the From address when writing a message. This guide follows Apple’s updated Mail steps, reviewed October 13, 2026.
Add Gmail, Outlook or iCloud to iPhone Mail
- Open Settings on your iPhone.
- Tap Apps and select Mail. Older iOS versions may place Mail directly inside Settings.
- Open Mail Accounts and choose Add Account.
- Enter your email address. If the iPhone offers a matching provider, continue with its approved sign-in page.
- Complete two-factor authentication if your provider asks for a code, passkey or security approval.
- Choose which supported services, such as Mail, Contacts or Calendars, to sync; the options depend on the account.
- Open the Mail app, select Mailboxes and verify that the new inbox appears.
Use the provider’s actual account sign-in interface. Do not enter passwords into a random third-party setup site, and do not turn off multifactor authentication merely because an old tutorial suggests it.
What if your provider is not on the list?
For a custom domain, school email or smaller mail provider, choose the manual-account option when available. You may need the provider’s documented IMAP incoming server, SMTP outgoing server, ports, SSL/TLS requirements and a supported account password or app-specific password. Obtain these values from the administrator or official service documentation; they cannot be guessed safely from the domain name.
| Account type | Typical setup | Common extra requirement |
|---|---|---|
| Gmail | Google provider sign-in | Google verification or passkey |
| Outlook.com | Microsoft provider sign-in | Microsoft account authentication |
| Microsoft 365 workplace | Exchange or organization-approved workflow | Admin security policy or device enrollment |
| iCloud Mail | Apple Account/iCloud settings | Apple Account sign-in |
| Custom email domain | Provider-approved automatic or manual setup | Exact IMAP/SMTP details |
Switch the From address before sending
If Mail has multiple accounts, start composing a message, open the From field and choose the intended sender. Check the sender especially when replying to clients or personal contacts. Changing the active inbox is not always the same as setting your default outgoing account; use the Mail settings to review defaults if available.
Fix an account that cannot be added
- Confirm the address and credentials. Use the exact full email address and test access through the provider’s official website.
- Finish security verification. Some providers require a second factor or an admin-approved authentication method.
- Check internet access. Try a stable Wi-Fi or cellular connection. Compare with Airplane Mode settings if the device is offline.
- Verify server details. For manually configured accounts, a wrong host, encryption option or SMTP credential can block sending while receiving appears normal.
- Check workplace restrictions. Employers can require managed access or approved applications, so an account may not be available in the native Mail app.
- Update iOS and retry. After a supported update, repeat the official sign-in workflow rather than installing an unknown profile.
Why your new inbox does not update immediately
Not every provider supports Push. In Settings > Apps > Mail > Mail Accounts > Fetch New Data, choose an appropriate fetch schedule when available. Apple’s guide explains that Automatically can fetch new data while charging and connected to Wi-Fi; the exact behavior depends on account support and iOS version. Increasing fetch frequency may use additional battery.
How to remove email from an iPhone without deleting the account
Go to Settings > Apps > Mail > Mail Accounts, choose the account and select Sign Out or Delete Account when offered. This removes the account from that iPhone’s apps, but it generally does not close your mailbox with Gmail, Outlook or the provider itself. Confirm the email is accessible elsewhere before removing it.
Frequently asked questions
Can I have multiple email addresses in one Mail app?
Yes. Apple’s Mail supports multiple accounts and choosing an outgoing address.
Do I need to install the Gmail or Outlook app?
No for providers that work with Apple’s Mail, though some organization-specific policies or special features may require a provider app.
Does adding email change my Apple Account?
No. A Mail inbox and the Apple Account that manages iCloud and device services are separate concepts.
What if only incoming email works?
Check the outgoing SMTP configuration and whether authentication is required. Do not randomly change security ports without checking the provider.
